How to write a cover letter in Germany?

German cover letter formal format

As mentioned before, the German cover letter is a very formal letter that should follow the following format for it to look familiar to the German eye:

Maximum one page and don’t fill it up completely. Leave enough white space when glancing over it.
Put your full address, including email (ideally including your name) and phone number, in the top right corner.
Put the company’s full address on the left with one paragraph below your address. Include the name of the contact person in the second line.
Place the date of your application right-aligned underneath the addresses.

1. Subject Line

The subject line in a German cover letter needs to stand out. It needs to convey with one look what position you are applying for, and you should bold it.

2. Salutation

The salutation is extremely important – the more personalized, the better. Reflect your understanding of the company’s culture by using the first name or last name; however it is appropriate. If you can’t find enough information or are unsure, always refer to the last name. If you can’t find the relevant person’s name, don’t be shy and pick up the phone to find out more. Introduction (3 – 4 lines)

The introduction should answer why you are applying for the position and how you became aware of it (through a friend, an employee at the company, a job portal, etc.). Be confident in your word choice. Don’t use insecure words such as ‘I think I would be a good fit’ but rather ‘I am confident that I will contribute to …’.

Second paragraph (5 – 6 lines)

Now it is time to shine with your skills, experience, and qualifications. Never just list things, but choose the relevant achievements and prove them with results. Don’t only refer to achievements in your work life, but if relevant, also mention efforts with private projects. This will show your personality, drive, and willingness to learn and grow beyond what you get paid for. It is absolutely ok to also write in bullet list style in this part, as long as you don’t just list things.

Third paragraph (5 – 6 lines)

After you have showcased yourself, it is time to translate how these experiences and skills will contribute to the role and company. Convey that you have taken the time to research the company by referring to the company culture, possible awards the company has won, or projects that inspire and motivate you. Be authentic and confident.

Closure (3 – 4 lines)

To close your cover letter:

Reemphasize your eagerness to join the company in the relevant position.
Describe your future goals and the value you can bring to the company.
State when you will be available to start work.
Emphasize that you’d be happy to answer any questions via phone or in a personal interview .
Only mention salary expectations if they are asked for in the job ad.
Be sure to sign the cover letter with your name.

4. Attachments

Add the word ‘Enclosure’ ( Anlage ) underneath your signature. List all the additional documents you will hand in with your application, like your CV, certificates and diplomas, reference letter, etc.

How to write Cover Letter for your visa application?

If you have an appointment for a German student visa, you will be required to submit a cover letter at the time of the appointment. This is something that is not mentioned in the checklist provided by the German Embassy. I almost forgot about it and had to write it on the last day after a friend informed me about the requirement. I don’t want you to make the same mistake, so I will guide you on how to write it. Below, I have explained each step in detail with examples to help you write your cover letter on your own.

Let’s refer to the top section of the cover letter as the “Header.” This section typically includes your details, the recipient’s information, and a subject line explaining the purpose of the cover letter.

Personal Details : To begin, include your full name at the very top of the cover letter. On the following line, provide your address, and on the subsequent line, include your mobile number and email address. Double-check the accuracy of your personal details before submitting the cover letter.

Recipient Information : Next, clearly state the name of the organization or individual you are addressing your cover letter to. In this case, it would be the Embassy of the Federal Republic of Germany in New Delhi.

Subject : Write a concise and informative subject line that clearly states the purpose of your cover letter. Tailor the subject line to reflect the specific course you wish to participate in, thereby indicating your interest and intention.

When writing your cover letter, it is important to be concise and to the point. Avoid beating around the bush and address the main purpose directly. Visa officers are often busy, so it’s crucial to respect their time. In the example below, the cover letter starts by stating the name and passport number.

In the following paragraph, provide information about the university you are enrolled in or if you have received an invitation to take an exam from the university. Discuss the specific course you intend to pursue at the selected university and explain how you meet the qualifications for it. If there is a language requirement, mention your language proficiency.

The next section should provide more details about your chosen course. This will demonstrate to the visa officer that you have conducted thorough research and are genuinely interested in the program, rather than being just another applicant. Include information about the duration of the course, and if you are planning to attend Studienkolleg, indicate how long it will take and outline your plans for after completing it. The following is an example of the VSI Mint program at Saarland University.

Although not required, it is beneficial to present your past academic qualifications in a table format. This will allow the visa officer to easily see all your qualifications in one place.

The above-mentioned details are true and can be verified with the mark sheets attached.

Once you have discussed your courses and academic background, it’s time to outline your plan, including the intended date of your arrival in Germany and when your semester begins. You also need to address how you will finance your studies and living expenses in Germany. If you have a blocked account, you can mention it in your cover letter along with the total amount in the account.

Finally, list all the documents that you will be attaching to your visa application.

Finally, express gratitude to the visa officer and conclude your cover letter with your name and visa reference number, which you will receive upon booking an appointment with VFS.

In Germany, students are expected to prove to universities that they have the energy and drive to succeed, and the most common way to do so is a letter of motivation.

In some countries, it might be called a personal statement . But it amounts to the same thing: a written testament that you are ready and able to try your hardest in a specific course.

What do you write in a motivational letter?

Before we start, it's important to note that there's no single motivational letter example . The exact format varies from person to person and course to course. In fact, suggesting a typical format can often be counter-productive. That's because writing a motivational letter is a completely personal task.

It contains a record of what motivates you to study , the skills and passions you possess, and what you want to achieve. How well you write this letter can determine whether or not admission is successful, so it's a big deal.

Is a motivation letter the same as a cover letter?

If you have applied for paid work, you may well have written a cover letter as part of the application process. In that case, you'll be familiar with what writing a motivation letter for university entails.

Don't treat a motivational letter as just another cover letter. It needs to be tailored to the requirements of your course and university, and generic content isn't going to work.

No repetitive content

Try to keep things concise and clear, and cut out any repetitive content. Remember your audience, stay disciplined, and you're sure to write a letter that gets the right result.

Writing a motivational letter shouldn't be taken lightly

Don't assume that you can write a compelling letter in a single afternoon, and forget about it until the acceptance letter arrives.

Instead, take the letter as seriously as you can. Research the requirements of your master degree down to the smallest details . Investigate any recommended reading, and get to know the university as much as possible.

The more you learn and know, the more details you can use to make your letter interesting. Remember, admissions staff will be deluged with similar letters during application periods. You need to stand out from the crowd , and in-depth knowledge is a good start .

Take your written style seriously as well. You don't need to come across like a robot, but try to limit the amount of light-hearted or humorous language in your letter. Mention your personal goals and passions, but keep focused on the course you are applying for.

Planning a letter of motivation can be extremely helpful . Ideally, you should set aside a few hours to lay out a structure and decide what to include. Don't just start writing immediately. Know how the letter will fit together before writing the first words.

Also, don't be afraid to have someone read through your letter. A fresh pair of eyes can detect errors in style and grammar , and suggest additions that you may have missed.

10 Tips for your Letter of Motivation

Now, let's move onto the really important aspect: how to actually write a successful letter of motivation

1. How do you start a motivational letter?

Kick-off your letter with a broad statement of purpose, stating who you are, and why you are qualified and motivated to study the course in question. Do not start your letter of motivation by repeating your CV or aspects of the application form. Admissions staff don't need to know about that, and they will have a copy of your CV as well.

2. Use a neutral writing style as much as possible

When writing, put yourself in the position of the reader. They want to know that applicants are professional, capable, stable, and keen to study. This usually means adopting a neutral style that communicates information and suggests that you are a serious applicant.

3. Get specific about what the university requires

Universities want to know that applicants understand what courses entail. They want students who are motivated to study their courses - not simply people who want to study abroad. So include details about the course and university in your text wherever possible.

4. Include personal details in the right place

While a neutral style is important, there is a place for personal details - if they are relevant to your application. So, if you have a special reason for wanting to study biology at Heidelberg, put that into words. Let the university know what drives you, and where your motivation comes from.

5. Be careful about exaggeration

While applicants need to promote themselves, there's a difference between selling yourself and going over the top. Don't just list your accomplishments and skills. Link anything you mention to aspects of the course you are applying for.

6. Check the text for consistency

Always try to keep a consistent flow throughout the body of the letter, and don't leave any details that seem out of place or irrelevant. If phrases or claims stand out, it gives the impression they have been forced into the text, and admissions staff may suspect that applicants are exaggerating.

7. How do you end a motivational letter?

The ending is almost as important as the introduction. Ideally, it will briefly summarize your reasons for studying and express your hope to be considered. Don't make a joke to close the letter. Just be polite and clear about your desire to study.

8. Be disciplined about proofreading

After you've written the first draft, it's essential to check the text for errors. Any spelling or grammar errors could prove fatal for your application and should be removed immediately.

At this stage, cross-reference the course requirements with your text to ensure you've covered every aspect.

9. Give yourself the time you need to write a great letter

When writing a motivational letter, don't leave it until close to the application deadline. Instead, make it one of the first things you do. That way, you can leave it for a few days and revisit the text. In that time, new ideas could have occurred to you, and they could be what makes your letter exceptional.

10. Keep these basics in mind

Finally, try to follow these basic structural themes when putting your letter together. There are no rules about length, but 2 pages are about right.

Use an introduction to set a positive tone, the main body to set out what makes you a suitable candidate, and what attracts you to the course, and the conclusion to round things off.

Motivation letter for Master's in Germany

A convincing letter of motivation is also essential when applying for a Master's program in Germany.

If you are preparing to apply for a Master's program, you have to look back to your academic career and initial experience from your studies. In your letter of motivation, you should make sure that you clearly elaborate on relevant stations and achievements during your studies and any professional experience.

You can use the following questions as a guideline:

Why do you want to do a Master's in Germany?
Why did you choose this field of study?
What previous qualifications and/or practical/university experience can confirm you are suitable for this Masters?

Your motivation letter for the university in Germany should primarily highlight why you want to go to Germany, how you intend to carry out this plan, and where you see yourself afterward. Motivation letter for German student visa

You may need to send a cover letter to the German embassy when applying for your student visa.

Why write a cover letter.

Many students wonder what the rationale is behind writing a cover letter when applying to study for a bachelor’s or master’s degree. The truth is that there is no definite, tangible benefit – but it does give you the opportunity to examine yourself and your profile more closely and reflect on why you actually want to do something.

Writing a cover letter doesn’t mean crafting magnificent prose or coming up with some sophisticated theories. All you need is the willingness to look at yourself honestly and consider the reasons why you want to do, learn or study something. Ultimately, a cover letter for an application to a bachelor’s or master’s program is all about you. It focuses on finding out what your motivations are, which is why a cover letter is sometimes also known as a letter of motivation. It examines whether you are truly ready for what awaits you.

Of course, it can be helpful to give some advance thought to potential arguments to support your choices. The most important thing, however, is that you keep an open mind to consider thoughts and ideas that come to you while writing your cover letter. So, be prepared to surprise yourself and take a close look at yourself and your motivations!

WHAT SHOULD A COVER LETTER FOR A UNIVERSITY APPLICATION INCLUDE?

A cover letter is an excellent opportunity to set yourself apart from other applicants. It allows you to show the admissions team at your chosen university that you are genuinely interested in a bachelor’s or master’s program, and outline precisely why you are the right candidate. A common mistake many applicants make in their cover letter is overstating their attributes, embellishing their letter and adding superfluous detail. It is crucial to remember that any exaggeration will soon appear inauthentic or implausible, and damage your chances. Instead, you should stick to the truth and remain realistic while emphasizing your qualifications and personality. After all, this is what the university actually wants to find out.

Stick to answering key questions: Who are you? Where do you come from? What have you learned to date? What experience can you bring with you? And why do you want to embark on this course of study, at this moment in time? Once you have given some thought to these issues, there will be nothing left to prevent you producing a solid cover letter to secure your place at university.

A cover letter for an application to study for a bachelor’s or master’s degree should include the following points:

An explanation of what it is about your chosen university that particularly appeals to you and why you think it is exactly the right place for you to study. When applying to Munich Business School, the relevant question would be: “Why is Munich Business School the best possible choice for your studies?”
An overview of your academic career to date, especially your achievements in relevant subjects. In addition to stating your grades, you could also discuss specific experience and insights you have gained to date, and why these are relevant for your prospective studies. When applying to Munich Business School, you should answer the question: “Why should Munich Business School pick you?”
A brief discussion of a topic that you find particularly engaging and aligns with the university’s values. When applying to Munich Business School, for example, a question relevant to the application process would be: “What does innovation mean to you?”
A conclusion in which you reiterate your motivations and goals in summarized form.

Tips for writing a convincing cover letter

A good cover letter can be decisive in determining whether or not you are accepted on your dream course of study. It is an opportunity to highlight your personality and shown your enthusiasm for your chosen program – something tests and certificates can never truly convey. So, what makes a convincing cover letter?

Be specific! Don’t just say why you are interested in studying. Instead, make it clear exactly why you are the right candidate for your chosen program and university. Use specific, concrete examples and explain what you have to contribute.
Make it clear you have understood the program! Provide examples to demonstrate that you are aware of the challenges your chosen course of study entails – and ready to tackle them. You should also explain why the program is the right choice for you, covering what it offers you, what electives you would choose, what aspects you are most looking forward to, and so on.
Stay positive! First and foremost, a cover letter should inspire. It is an opportunity to show that you are an ambitious, optimistic candidate, and will remain so even in the face of adversity. Avoid striking a negative tone or referring to other programs and universities in negative terms. Instead, rely on positive formulations to make clear what you like most about your chosen program and what you believe sets it apart from the alternatives.
Let others do the talking for you! If other people who know you well – such as past professors or lecturers – are willing to confirm that you are highly motivated or a particularly suitable applicant, you should seize this opportunity. Speak to them about whether they would be willing to provide a reference or a quote for your cover letter.

FIVE MISTAKES YOU MUST AVOID WHEN WRITING A COVER LETTER

When writing a cover letter for an application to a bachelor’s or master’s program, there are a few common mistakes you must avoid.

Too little background knowledge about the program. The biggest mistake you could make is not knowing enough about your chosen program or the university. Before writing your cover letter, make sure you familiarize yourself thoroughly with the program’s structure and the research currently underway at the university.
Exaggerations and lies. Make sure you avoid bending the truth in your cover letter, whether by overstating matters or even lying. This will usually come to light sooner or later and can prevent you from being admitted to your chosen program of study entirely.
Lack of self-reflection. You need to be honest to yourself when writing a cover letter. Why have you chosen this course of study? What reasons have played a role in your choice? And what do you expect from the program? The more precise and reflective you are in answering these questions, the more effectively you will show your prospective professors that you are the right choice for your chosen bachelor’s or master’s course.
Linguistic errors. Your cover letter should not contain any typos or grammatical mistakes.
Lack of clarity. Give your application documents a clear structure. For example, you could structure your cover letter in sections or paragraphs, always with a clear structure and using the same styles and fonts.

Introduction

The next few sides will provide you with a step-by-step guidance of how to write and compose a cover letter. The examples on each side are taken from the Cover Letter by Peter Hunzicker. Click on the picture below to get the full-sized Cover Letter to recheck while reading through the instructions.

Step 1: Your address

Use the English name for your city, if there is one and the English name for the country.
Write your name in 14 point bold type so they can find you quickly in a stack of cover letters.
Don’t use German characters. Write Str. or Strasse.
Use the (+) sign instead of 00 before the country code for Germany (49). International access codes differ.
Use a serious email address: [email protected] isn’t the image you want.

Step 2: Inside address or recipient’s address

Use their full name with title (Dr, Mr, Ms, Professor).
In English we don’t combine titles such as Ms doctor or Doctor Professor.
In business, it is not common for a person to use an academic title.
Include the person’s position, if you know it.
Write the full mailing address of the company or institution.

Date may be positioned left or right.

UK: it is written day (number) month (written out) year without commas, e.g. 4 July 2014

US: the order is month (written out) day (number) followed by comma then year, e.g. July 4, 2014

These are small differences and both are understandable and acceptable

Don’t use abbreviations after the day: 21st, 2nd, etc.

Step 3: Salutation and subject line

Dear Ms Smith for a woman and Dear Mr Smith for a man in business. Use academic titles for universities and research facilities. If it is impossible for you to find out the name of the person you should write to, use ‘Dear Sir or Madam’.

The subject line (in Bold ) enables the reader to quickly see what your letter is about. Include the position you are applying for, date of the advertisement, source: publication or website and any reference number.

If you are writing to a company that has not posted an opening (unsolicited application), the subject line should contain the type of position you are interested in and the department ‘Application for a summer internship in marketing’.

Step 4: Body

The body of the letter should consist of three to five short, concisely written paragraphs.
Leave a blank line between each paragraph.
Align your letter along the left margin of the page.
Remember not to use contractions (I’m, don’t, etc.), slang or casual language that you would use in emails to friends.
Do use action verbs to describe your experience.

Start the opening paragraph with a capital letter.

Introduce yourself and specify the job you are applying for.
Briefly explain how you heard about the job and why you are interested in it.
Following paragraph(s): Expand on the qualifications and experience in your CV to highlight your achievements and strengths. See The first steps to successful applications and interviews.
Use your research to demonstrate you know something about the company, their industry and the job requirements.
Show them the connection between what they are looking for and what you have to offer.
Use, but don’t overuse, key words from the advertisement.

Step 5: Final paragraph

Restate your enthusiasm for the position.
Indicate your interest in an interview and your availability.
Offer to provide additional information and references.
Thank them for their time and consideration of your application.
Common phrases such as ‘I look forward to hearing from you soon’ can seem a little obvious and possibly demanding to recruiters who are trying to work their way through hundreds of applications.

Step 6: Complimentary close

If your letter is addressed to a specific person, use ‘Yours sincerely’ (UK). If you had to start your letter with ‘Dear Sir or Madam’, then close with ‘Yours faithfully’
In the US ‘Sincerely yours’ or ‘Sincerely’ is appropriate for any business letter.

Step 7: Signature and enclosure

For an email cover letter, type your full name. For one that is mailed, type your full name, leaving space above for your signature. Include (Mr) or (Ms) - in brackets - before your typed name if it is not clear whether your name refers to a man or a woman. Otherwise, leave it out.
Use ‘Enclosure’ or ‘Enclosure: CV’ to note the CV you are enclosing with your cover letter. Writing ‘CV’ alone is not enough.
Be sure your font and font size match your CV and that both are printed on good quality white paper.

Generally speaking, a Letter of Motivation (LOM) is a mandatory application document requested by local German Embassies/Consulates in which you need to convincingly demonstrate your motivation for coming to Germany, to seek admission to your specific study program, and explain why you should be given the opportunity to study in Germany. Put another way, it is through the LOM that you make a formal request for your German student visa.

Motivation Letter vs SOP vs Personal Statement - What are the differences?

Do not be confused or surprised if you find out that your local German Embassy/Consulate does not mention "Letter of Motivation," but instead uses terms like "Statement of Purpose (SOP)," "Personal Statement" or "Cover Letter." Depending on the location, German Embassies/Consulates may use one of these expressions for what is called in German “ Motivationsschreiben ''.

This is a very popular yet very broad question to answer compactly. Hence, let us break it down into five frequent questions that we get at MyGermanUniversity.

What is the structure for the Letter of Motivation?

Luckily, there is a standardized structure for the LOM available for you, which you should always follow:

Introduction and salutation.

Main body. This is supposed to be the longest part because here, you elaborate on why you want to study in Germany, your plans for the future etc.

Conclusion and valediction.

What is the format for the Letter of Motivation?

If not otherwise requested by the local German Embassy/Consulate, you are safe if you follow these suggestions:

Margins: 2.5 cm, or one inch, on all sides.

Font size: 11- or 12-point of a standard script like Times New Roman or Arial.

Line spacing: 1.5-point.

Text alignment: justified (text is aligned with both margins).

How long should the Letter of Motivation for the visa be?

Ideally, it should be no more than one page (e.g. see the example of the German embassy in Nigeria ), as long as you follow the above-mentioned formatting recommendations. In other words, you will end up having around 500 words, which is always a good target range.

You start a motivation letter for a German student visa by getting straight to the point:

Introduce yourself;

State what is this letter for; and

Basically, you should try to answer the following five questions briefly:

Why Germany?

Why are you a very good fit for the program?

Why is the program a very good fit for you?

How is studying in Germany at the given program connected with your future plans?

Guidelines provided by German Embassies/Consulates

After studying the websites of German Embassies/Consulates in dozens of countries, the following is clear:

In general, German Embassies/Consulates do not provide any guidelines for writing your Letter of Motivation (see Table 2). This is done intentionally, as LOM-writing is supposed to be an open-ended task.

Sometimes (extremely rarely), some Embassies/Consulates can get very specific. For example, the German Embassy in Ukraine provides one of the most detailed guidelines (link here ). In fact, this guideline consists of a list of questions that is quite similar to what we suggested to you in the previous section.

Sample: Letter of Motivation for a Student Visa in Germany

Before writing their own LOM, students often try to find a Letter of Motivation example online (especially in PDF format) to have a hands-on guideline to follow. In general, we recommend that you be very careful with such samples.

It is fine to use a sample as long as you want to use it just as a guideline. However, beware that the Internet is full of low-quality samples, meaning that even if you behave ethically and just use it as a guideline, you are at high risk of ending up with a bad Letter of Motivation. Specifics of an English cover letter

The motivation to work for the respective employer is important, but should not be longer than one sentence. On the other hand, the focus is on the own person and personal skills.
The first paragraph always mentions the length and location of the employment/internship. Since many larger companies are decentralized, stating 'what', 'where', 'how long' and 'which department' is important.
It is important in English cover letters to use very active language. There are many lists of these so-called 'action verbs' that should be used in English cover letters. The Office of Public Interest and Advising at Harvard Law School has published a list of action ver bs.
The term 'attachments' is not used in English cover letters.
At the end of the cover letter - after the request for an interview - it is important to thank the person reading for their time and attention. Usually this is expressed more directly than in German applications.

1. letterhead (header also possible): Own personal details such as name, address, telephone number and e-mail.

2. letterhead: address of the employer, with the contact person in first place, followed by the name of the company (written out in full)

3. date: the peculiarities of the British and American spelling should be taken into account here.

4. subject: job title and reference number (highlighted), if applicable.

Personal salutation: "Dear Mr./Ms. X"
If there are no clear guidelines, the desired duration, entry period, and location are given first
Details of academic training (write out the name of the university and indicate the type of degree)
Work experience
Soft skills and other qualifications such as language skills, computer skills
Closing formula: Request for an interview and greeting ('Best regards').

6th signature: Put name under the scanned signature

A personal form of address is better in any case and appears more professional. If there is no clear contact person, you should try to find out who they are by e-mail or telephone. This is also a good way to start a conversation and make a good first impression.

E-mail and telephone number should not be missing on a cover letter.

When applying for or from abroad, it is important to include the country code , e.g. +49 for Germany.

The date on the cover letter should be current.

The name of the employer (e.g. the company) must be written out.

If the course of study is rather unknown and the title is not clear, the course of study should be described briefly.

Soft skills should not simply be listed, but described in context. It is helpful at this point to cite examples that demonstrate independence, for example.

Applications to work abroad also ask for an interview , even if it is clear that a personal interview cannot take place. Telephone or Skype interviews are usually used as an alternative.

In the end, we should be thanking the company and let them know that they are welcome to schedule things further. Availability has to be mentioned along with contact details where the company can get in touch.

The word Anlage (Enclosure) has to added once the cover letter is signed. All the certificates and documents which are part of the application should be listed down there. This includes CV , educational documents, reference letter etc.

Far more than a mere formality, a cover letter is an important means of presenting yourself to a prospective employer. It would be difficult to land a job in Germany without one. First things first: what is a cover letter? Although it may be tempting to send in your job application without one, a cover letter is an important part of job applications in Germany, and most hiring managers will expect to receive one, even if the vacancy listing does not explicitly specify this.

A cover letter is a short (usually no more than one page) document that you submit together with your resume as part of your job application. Rather than simply repeating the information contained in your CV, its purpose is to expand upon it, summarising your skills and experience, explaining what makes you a good fit for the role, and (hopefully!) piquing the hiring manager’s interest. While a CV lays out the facts, your cover letter conveys more personality. You can expect to be asked about both if you make it to a job interview .

In Germany, a cover letter ( Anschreiben ) generally follows a prescribed format, which makes it easier to structure your own.

Using a template can be a good way to get started, and will also ensure your cover letter is well-formatted. If you used a template for your CV, it’s a good idea to use the same design for your cover letter, to make your application look professional and consistent.

German cover letters are not fundamentally different to those in other countries, with the only possible difference being they are rather formal and matter-of-fact, with no credit given to pomp, exaggerations or overly flowery language.

As with elsewhere in the world, your cover letter in Germany should be succinct - no more than one side of A4 in size 12 font. You also do not want to present the hiring manager with a dense wall of text, so make sure to break it up into sizeable paragraphs.

It may be time-consuming, but you should also write a unique(ish) cover letter for each job you apply for. Recruiters don’t like to receive form letters - and sending off a generic letter is a sure-fire way to ensure your application ends up in the bin. You need to explain why you want this specific position , and what makes you particularly suited for it - so tailor your cover letter based on the responsibilities and requirements outlined in the job description, and what you know about the company.

Cover letter format

If you’re not sure where to start, it can help to break the letter down into a few sections. Almost all cover letters are structured around the same tried-and-tested format:

A header with your contact information
A greeting to the hiring manager
An opening paragraph that will grab the reader’s attention
A second paragraph that explains why you’re the perfect fit for the job
A third paragraph that outlines why you’re a good match for the company
A formal closing

How to start a cover letter: With a header

Writing your contact header is a good way to ease yourself in, and ensure you’re not staring at a blank page. As with a CV, it’s important to include some basic contact information on your cover letter. You should include:

Phone number
Email address
Name of the hiring manager
Name of the company you’re applying to

You might also consider adding your social media profiles or the address of your personal website, if these are relevant in your field and to the job you’re applying for.

Address the hiring manager

This is where you can score some easy marks. You’d be surprised how many people open their cover letters with, “Dear Sir or Madam.” That’s one way to turn off a hiring manager. It’s much better to address your letter to them personally. That means you need to do some research.

If you’re lucky, this information is included in the job description. You should also check the “Team” or “About us” page on the company’s website. Alternatively, you could turn to LinkedIn to find out who’s head of the relevant department. If in doubt, call up the company and ask who you should address your application to. It might make your name stick out when it comes to sifting through CVs.

As a last resort, if you really can’t get hold of a name, address your cover letter using one of these greetings:

Write your introduction

This is worth taking your time over. Companies typically receive hundreds of applications for single positions, and so they’re not going to be reading every cover letter from top to bottom. You need to grab their attention from the first paragraph.

The key here is to not be too generic - most applicants will probably have similar work experience and interests. Instead, you need to explain what makes you unique. What is your bottom-line USP? That’s what the recruiter wants to know.

Explain why you’re a good fit for the job

Next, it’s time to get into the meat of your letter, by outlining your professional skills, and explaining why this experience makes you better-qualified than the other applicants. It’s a good idea to have the job description to hand when you write this section. Match the requirements listed by the company to elements from your own skill set and work history, and elaborate on them.

But there’s no way you’ll have space to cover every single detail. Instead, pick two or three of the most important requirements and use them to spin a couple of compelling stories from your own experience.

Explain why you want to work for the company

The final section of your cover letter is just as important: explaining why you want to work for this specific company. Hiring managers want to know that you’d be a good fit for the company culture - that you want this job, not just any job - otherwise you’d be a risky hire.

This might require you to do some extra research - what do you know about the company and its products or services? What’s the work culture like? What about that enthuses you? It pays to be super specific.

Wrap things up

That’s it - you’re almost there! Now you need to finish with a conclusion that wraps up your letter. If you have anything else you want to say, now’s your chance. Finally, thank the hiring manager for their time (it’s only polite).

Then, it’s time to sign off with a formal closing. You could use:

Once your cover letter is finished and proofread, you’re ready to send off your application. Put your feet up and wait for a response.

Should I write my cover letter in German?

Whether or not you should write your cover letter in German depends on a few factors, namely:

The language requirements of the job
What is specified on the job description
Your own language ability

If a job description specifies that applications should be made in German, it’s best to follow this advice. If your language ability isn’t up to the task of writing a CV and cover letter in German, it may be that the job itself is also beyond your language capabilities.

However, an increasing number of companies in Germany, specifically international companies , are now offering English-speaking roles, although some still require you to apply in German. In this instance, it’s worth submitting your documents in German (you can ask a German-speaking friend to help, at least by checking your finished CV and cover letter over). To really show off your language skills, you could submit both English and German versions of your application.

The HR department of the company I work for told me that sometimes a cover letter could be a crucial element in why they might decide to invite someone for an interview or not. If you plan to apply for a job in Germany, you have to learn how to write a German cover letter.

Let’s start and let me provide you with the essential information about cover letters in Germany in this article.

Alongside the German CV , you should also make sure that you are sending a cover letter. Even if the cover letter does not prioritize the preselection of candidates for further interviews, it might make a significant difference in the end.

The German SPIEGEL Magazine published an article about the importance of cover letters for an application in Germany. The interviewed recruiting professional states in this article:

“However, a job application is about working together in the future. Therefore, you’d better use the cover letter to tell a potential employer what is important to you in your job and how you would like to work together in the future.”

Based on my experience, you should never miss that chance to impress your future employer. It may make a difference if your CV is similar to others or might not fit 100% to the job offered.

Definition of the cover letter in Germany

Think about a motivation letter as an extended introduction to:

who you are
the reason you are sending the application
why you are a good fit
and why you could be of benefit to the company you are applying to.

It allows you to paint a more detailed picture about yourself instead of relying only on your CV. This strings together all the stages of your professional and educational life.

As you can see, a German job seeker’s letter can include quite some information about yourself.

This leads me to the next point, why an email instead of a cover letter is not enough.

In Germany, the cover letter is not an email

Most applications are now submitted online and no longer by mail. Whether you send your email or submit your CV and cover letter via a recruiting platform, they should not confuse a cover letter with an email.

If you send your CV via email, you should not mistake the email with your written cover letter. Your email can be short and sweet. There you can provide some basic information, such as your name and the name of your contact person, if available.

In the email you’ll be stating that you are sending your CV and your cover letter and asking for a reply.

The cover letter should be a separate PDF file or Microsoft Word Document.

Tipps regarding the German cover letter

Here are a few tips that I collected from my German friends.

Length of German employment cover letter

A cover letter for German employers should be roughly one to two DIN A 4 pages long.

I recommend you not write a cover letter that’s longer than this because hardly anyone will be willing to read it.

In general, using a larger spacing between lines and a comfortable to read font size will support the recipient’s efforts to read it.

Opening and closing formulas

It would help if you always used polite and formal addressing and closing formulas.

As you might be aware, there is a standard version for “you” in German: “Sie.” This is how Germans address everyone they are not closely acquainted with.

Even if you know your first point of contact in the company you apply to, I’d still not recommend the informal version for “you” used as “Du” in German.

But why is that?

Most likely, more people will be reading your cover letter throughout the application process. And it’s considered impolite in Germany to use “Du” instead of “Sie.”

Standard addressing formulas are, for example:

“ Sehr geehrte Damen und Herren ,” meaning “dear sir or madam,” is the most general variation.

If you know your first point of contact by name, you can also address them by using, for example, “ Sehr geehrter Herr Weidel ,” which means “Dear mister Weidel” in English.

Always address them with their family name, not with their first name.

It’s best to close a cover letter using the standard formula “ Mit freundlichen Grüßen ,” similar to “Best regards” in English.

Make sure you add your name with some white space in between so that you can sign the letter manually before sending it out.

Sentence length

You should make sure not to write any lengthy sentences. Better keep your sentences as short as possible. This helps the reader quickly grasp the content and understand what you are writing about without having to overthink it.

Individual cover letters

Even if you are applying for more than just one position at once, make sure you rewrite your cover letter every time.

You should tailor he cover letter should to the company you apply to.

You can’t use the central part of a cover letter for more than one job application.

Give examples

Reading through the job offering or job ad is crucial. It is better if something stands out that you can refer to in your cover letter. If specific personal strengths are required, give a short and easy-to-understand how you meet up.

Answers to questions

Are there any questions included in the job advertisement? If so, answer them and make sure that you answer all of these in your letter.

Refer to the company you apply to

Since nobody likes to receive a mass-produced application, make sure that you mention something that stood out for you while informing yourself about the company you apply to. Allow them to understand why you chose to apply for that specific job in their company.

Grammar and spelling

Of course, taking care of any grammar or spelling mistakes is always a good idea. If possible, let a professional read through your cover letter. If you have no professional at hand, you might have to find someone capable of reading and writing German fluently enough to support you here. I have always used Fiverr * for that kind of service in the past.

The structure of the application letter in Germany

From a structural point of view, a formal job inquiry letter can be a bit longer than you might have experienced that so far in your home country.

Basic information

At the very top of the page, please include:

your full name
phone number
and other contact information

Also Include the full name and address of the company. And the name of the contact person you address the cover letter to, in case you know the name.

As a last formality, include the date and subject matter.

You can then address the person the cover letter is written for by name or use the standard formula of “Sehr geehrte Damen und Herren” as mentioned above.

Now it’s time to divide the cover letter into four different paragraphs.

First paragraph – Introduction

Make sure that you introduce yourself and give the reader why you are applying for the specific job. Some ideas might be that you recently relocated to Germany and are now searching for a job. Another option might be that you want to make a career change. It should be clear to the reader what your intention is.

Second paragraph – Your professional experience

The second paragraph is about your professional experience, skillset, and abilities. If there is anything worth mentioning that you believe would help you stand out from other applicants, please consider mentioning it.

Suppose you are still working outside of Germany. In that case, you might also consider providing some details about your current position, the company you are working for, and the daily tasks you are regularly doing.

If you achieved anything remarkable in the past that might benefit your future employer, let them know about it. It’s another chance for you to shine.

Third paragraph – About the company and the reason why

Before writing this paragraph, think about why the company should hire you instead of someone else.

How can you be of benefit to your future employer?

Try to describe why you are a good fit for the position, the job offered, and how you might fit into the team.

You should consider finding out more about the company you apply for and get some background information.

Since it’s not unlikely that people will search for you on LinkedIn, do the same and search for the company there.

You will most likely get a good idea about their corporate structure and maybe even about the team you would be working with.

Fourth paragraph – Closing

In the last paragraph, you should state that you are interested in the company and the position. Thank the person or the people who would read your cover letter for considering you for the offered job.

Also, please mention that you’d be looking forward to meeting them in person or virtually for the interview soon. And that you are looking forward to a reply.
