How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Example of great presentation structure and delivery

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

How we structure presentation content.

Your content is the foundation of your presentation, and how you create and structure it can be the difference between audience engagement, and losing them before you’ve made it to the second slide.

Human beings love stories, it’s in our DNA. From that gossip you overheard in the bathroom, to the greatest movie ever made, when you hear a good story, you’re instantly immersed, enraptured and desperate to find out how it ends. When it comes to your presentations, why wouldn’t you want your audience hanging on your every word?

In this article, we’re going to walk you through the secret formula for creating and structuring your PowerPoint presentation content. In just a few easy steps, you can craft your most powerful presentation yet.

First things first, open PowerPoint.

Uh uh. That was a test. You failed already.

You shouldn’t be going anywhere near your chosen presentation software until your content, structure and narrative are perfect. 

I know, I know, tricks are cruel. But we wanted to prove a point. There is no secret formula, and we’re not going to tell you exactly what to do, because creativity doesn’t work like that. And, if we did just tell you exactly what to do, your presentation content would be identical to all the others. We’re assuming you want to stand out from the crowd. 

Even if you don’t consider yourself a creative person, in order to turn dry, uninspiring messaging into an engaging story, you’re going to have to flex some creative muscles. We’re not going to give you any step-by-step instructions to creating your PowerPoint presentation structure, we’re going to suggest a few eye-opening ideas, and creative exercises, to encourage your imagination to take it from there. 

Sound good? Let’s get started. And, I promise, no more tricks.

Know your purpose

Here we go again, with the purpose chat. We know, you’ve got it by now. However, just in case you haven’t read any of our other  storytelling blogs , we’ll go over it again. Once more for the seats in the back. 

If you identify exactly what you want your audience to think, feel, or do, by the end of your presentation, you can work backwards and ensure every message in your presentation content points them towards that goal. Why are you standing up and speaking to this group of people? What is the change you want to make?

Once you know your purpose, you can keep checking in on your story, as it develops, and asking yourself “does this serve my purpose?”. If it doesn’t, you can edit or remove it completely.

Most people, when planning the structure of their PowerPoint presentation structure, have a rough idea of their purpose before they begin. Usually, the general outcome is included in the brief. Sell more products. Demonstrate our capabilities. Change how they see the industry. Which means you just need to work to understand why you do what you do. You don’t just sell products, you sell people their time back, through more efficient software, for example.

Know your audience

You know where you are, and where you want to be, but don’t forget who is going to get you there: your audience. They hold the key to your success, so you’re going to have to sweet talk them. 

Understanding your audience is the most important part of any communication. Most people make the mistake of talking about themselves, and their presentation content comes from a purely selfish standpoint. And we get it, you’re proud of your product and all the clients who have had tremendous success from partnering with you. But your audience don’t care about your successes, they’re thinking about their own.

If you can’t prove to them that your product is the answer to their problems, they’ll stop listening pretty much straight away.

The first step to doing this, is to understand what their problems are. What do you know about the people who will be sitting across from you when it comes to the big day? What keeps them up at night? What do they dream of? What’s stopping them from achieving these dreams?

Once you understand their motivations, and their barriers for success, you can structure your PowerPoint presentation in a way that proves you get them, and you have the answers they’re looking for. This is how you define your key messages: audience challenges and your proposed solution.

The language of your presentation content

Who you’re speaking to will also dictate the language that you use to write your presentation content. While your tone of voice should always be authentically you, the level of detail you go into, and the specialist language you use, will be controlled by your audience’s existing knowledge. 

You don’t want to pitch too low and insult their intelligence. But you don’t want to bombard them with jargon and lose them from sentence one.

As well as language, you also want to think about tone. How well do you know the people sitting across from you? Can you afford to be more conversational and friendly, or would they respond more positively to a corporate and professional tone?

The answer to all these questions lies in your research, so don’t skip the getting to know you part. One thing we can tell you about your audience is: they’re – most likely – human. And humans are storytelling animals.

Why structure your presentation content as a story?

Stories are easy for our brains. We consume stories every day of our lives. From the bedtime stories our parents would read us, to the books and movies we use to escape the ordinary, to the short, sharp visual stories told through intelligent advertising. 

By structuring your presentation content as a story, you become the guide. You take your audience by the hand, introducing them to new and exciting concepts and persuading them that a better future is just around the corner, so long as they stick with you. 

What does a story look like?

A story has to be a journey. And, for a presentation, it has to be one that’s easy to follow. Your audience aren’t going to put in work to understand your message. If it’s too convoluted, they’ll just stop listening.

This is where you start to add structure to your presentation’s key messages. Traditional stories are told in three parts: beginning, middle and end, so that’s a good place to start.

Presentation structure: Beginning

In the beginning, you set the scene and establish a connection with your audience by describing a situation they’re familiar with. Describe the current landscape, in brief, to make sure you’re all on the same page, showing them you understand the industry.

Give them a sneak peek into what’s in store. Set the level of expectation by sharing a condensed version of the agenda. We find summing up the journey they’re about to embark on in three themes does the trick. Humans find threes easy to cope with.

We’ve previously discussed ways to  start a corporate presentation , but suffice to say there’s a wealth of options. The only limit is your imagination.

Presentation structure: Middle

The middle is where we explore the challenges you identifed during your audience research. Your audience might have one challenge, or 46, and it’s important to at least acknowledge each of them. That doesn’t mean you need to go into detail. By grouping challenges into larger themes, you can create a presentation structure that’s easy to follow, while comprehensively covering all their challenges.

For each challenge, you need to offer a solution. And you need to draw an obvious line between the challenge and your answer to it. Remember, they’re not going to work hard to join the dots in your presentation. It’s your job, as guide, to show them the way.

When planning out the ideas you want to cover during your presentation, here’s a piece of advice: don’t bite off more than you can chew. Don’t attempt to find a cure for cancer, achieve peace in the Middle East and resolve the riddle of what happens to odd socks in a single presentation. Three ideas – or even two, or one – answered satisfactorily will be far more effective than half a dozen ideas, half-answered in a half-baked fashion. Keep it lean.

Presentation structure: End

By the time you reach your final slides, you will have your audience emotionally hooked. Now you just need to appeal to the logical part of the brain. 

There are numerous ways, such as case studies, client testimonials, procedure deep dives, or even showing how the technology actually works, that can add both logic and credibility to your argument. Whichever is relevant to your product, make sure you break the information down in an easy-to-understand format, and that it’s valuable to your audience.

Bring your presentation to a close with a summation of how much better their lives will be if they adopt your ideas. Reiterate your key points in brief. This is your culmination, your final opportunity to make your message heard. Tough, we know, that’s why we leave it up to our Storytellers.

Make sure your call to action is clear. You’ve done all the hard work, taking them on a journey and dropping breadcrumbs of change, so don’t miss this opportunity to tell them exactly how they make this change happen. Lay out how they take that first step towards a better future. 

For your final slide, you need to end with impact. We’ve explored the intricacies of ending a presentation in this article . Yes, it needs its own post. 

Once you’ve got the basics down, feel free to play with your narrative structure and get more creative with how you tell your story. Your key messages should remain the same, tailored to the needs of your audience, but you can mess with timelines to keep them guessing. 

Don’t forget to edit your presentation content

Once you think you’ve got your perfect story, go back through and take the “so what?” test. For each of your key messages, ask why your audience should care. If you can’t come up with an answer, get rid of it.

Of course, editing also includes streamlining your ideas, to make sure you’re not repeating yourself, making sure all your messages point towards your end goal, and tidying up your script in terms of narrative flow.

We’re almost at the end of our own journey, and we haven’t even opened PowerPoint yet. Do you see how important it is to get your narrative tight, before you start messing with slide content? We’ve said it before and we’ll say it again: you are the star of your presentation, your slides are there to support you, and cement your ideas.

Each idea deserves its own slide, to give it space to breathe, and give your audience ample opportunity to digest what you’re saying.

On-slide presentation content

When we say presentation content, we do mean on-slide copy, as well as speaker notes, so we weren’t going to end this article without talking about the last piece of the puzzle.

Your on-slide copy needs to be minimal. Your audience can’t listen to you and read your slides at the same time, so remove the distractions and just pull out the most important points from your script, and put those on slide. This will support what you’re saying, aid comprehension and increase the chances that they’ll remember your messages. 

The impact of these visual cues is enhanced when supported by imagery or iconography that also reinforces the message. But we’re in danger of moving on to  design  and animation now. An attractively designed and worded agenda can also help to capture the audience’s attention right from the start and get them excited about the presentation. For example, the agenda can be designed using images, language, or terminology that is specific to the audience’s goals and interests. In this way, the presenter signals that they value the audience’s time and interest and are tailoring their presentation to meet their needs. If you have given similar presentations before, you should take into account insights you can derive from audience reactions or questions, for example, when building your next presentation.

The main part should make up about 75% to 80% of the total duration of the presentation. These are our tips for the main body:

1. Precise headings:

Make sure the main body is clear and logical and use precise headings. They will ensure that your audience can follow your arguments. Headings that are to the point also help the speaker, for example, when you want to jump back and forth within the presentation.

2. Key messages:

Present your core messages and arguments in a logical order. Make sure to support your arguments with examples and facts to strengthen your position. Report from the field to show that you understand the needs of your target audience.

3. Visualization:

Make sure you make your information easy to grasp quickly. Whenever possible, you should make use of visualizations. Diagrams, icons, and images are quicker to grasp than columns of scrubs, and you’ll stick in their minds. Your audience is more likely to remember a good picture than the text on your slides.

After the main part, you should have achieved the following with your audience:

  • The audience has understood your information and your arguments
  • You have answered or anticipated your audience’s most important questions and objections
  • The audience has recognized the relevance of the topic for their own needs and requirements
  • The audience is ready to take the next step toward your goal.

Otherwise, unfortunately, your presentation will be forgotten very quickly or other topics will push in front of it.

The conclusion of your presentation should be about 10% to 15% of the total duration of the presentation and include the following elements:

Summarize the most important points of your presentation again in a short and concise way. This will remind the audience of the key messages and strengthen your overall impression.

2. Call-to-action

Conclude your presentation with a call-to-action that fits your presentation objective. Ask the audience to make a decision, buy a product, or schedule a follow-up appointment with you. This will create commitment and ensure that your presentation objective is achieved.

Give an outlook on future developments or projects. Show the next steps or point out follow-up topics. By doing so, you show that you know the processes and are also an expert for the next steps and implementation.

4. Thank you

Conclude your presentation by thanking the audience. Show your appreciation for the interest and time the audience invested in your presentation. You can also include your contact information and offer to answer questions or provide further information. The thank you note should come from you in person; you don’t need a slide for that. A) Build interest:

Begin with a strong hook that grabs your audience's attention. This could be an intriguing statistic, a powerful image , or an engaging question. It should stir curiosity and make your audience eager to hear more.

B) Establish relevance:

Once you have their attention it's time to establish why your presentation matters to your audience.

Address your audience's main concerns. Make sure your content directly speaks to these pain points, and address them in order of importance.

2. Build anticipation

A great presentation is like getting a new car – it builds anticipation, takes you on a thrilling ride, and ends with you wanting to share the experience with all your friends.

Start with a compelling problem your audience relates to and follow up with a promise of an amazing way they can solve it. This problem-solution dynamic creates a suspense that keeps your audience glued to your presentation.

Some details might seem fascinating to you, and you’d like to talk about them for hours, but for your audience, too much information will drain their energy and lose their attention. 

Therefore, make sure to keep track of time. Also, consider your audience’s interests. A concise presentation is always better than a long one with a ton of information. Plus, you’ll have a higher chance of keeping your audience’s attention throughout the presentation.

Now that we’ve looked at some of the most common presentation mistakes – let’s dive into effective presentation tips that’ll help you excel in future presentations. 

#1 Tell a story

Stories connect, inspire, and empower people. Telling a story can entice action, help understand an idea, and make people feel connected to the storyteller. It’s also one of the most effective presentation tips. A study by organizational psychologist Peg Neuhauser found that a well-told story is easier to remember than facts, which makes it a highly effective learning technique. 

With that in mind, telling a story when you’re presenting can engage your audience and make it a more memorable experience. You can either share a personal story or a historical event, just make sure to have a clear connection between the story and the topic you’re presenting.

#2 Work on your body language

Body language can make a huge difference in how your presentation is perceived. It’s one of the presentation tips you definitely shouldn’t overlook. 

Body language says a lot about a person’s confidence level, emotions, state of mind, and even credibility. For the audience, it’s a way to understand what the person is saying and how interested they are in the topic. 

Therefore, work on your body language to better convey the message you’re trying to communicate. Practice in front of a mirror before your presentation and be conscious of your hand gestures and facial expressions. 

#3 Understand your audience

Before crafting your presentation, you must know who you’re speaking to. Understanding the interests, demographics, professional background, and other valuable information of your audience is crucial in making your speech successful.

If you’re speaking at an event, contact the organizers to get more information about other speakers and the audience. If you’re presenting at work, you may already know your audience fairly well. Use this information to your advantage and create content you know they’ll resonate with.

#4 Use high-quality visuals

What’s one of the most effective presentation techniques? Use of visuals. They play a crucial role in your presentation. However, only high-quality visuals will make a good impression and effectively communicate your message. Use high-quality visuals like images, videos, graphs, maps, and others to really land your point.

#5 Use data visualizations

Do you want to showcase statistics or other datasets in your presentation? Use data visualizations to make your data stand out and impress your audience. 

There’s nothing more boring than a bunch of data presented in a flat way. If you want to tell a story with your data, use interactive infographics or slides enriched with eye-catching visuals. Showcasing data will make your ideas appear more trustworthy and credible.

#6 Make it engaging with interactive elements

It’s not easy to deliver an engaging presentation. People can easily get distracted or try to multitask, especially in the virtual environment. Sometimes, it’s difficult to focus on the speaker and the written text. Other times, the content just isn’t impressive enough to hold the audience’s attention. But it doesn’t have to be this way.

You can make your presentation more engaging for everyone by including interactive content like graphs and charts. With interactive data visualizations, you’ll make the data discovery process more engaging and exciting for your audience. 

Your audience will be able to hover over data points and click on certain icons or datasets to discover information on their own. Interactive visualizations will make the presentation more memorable and impressive.

#7 Stay consistent with fonts and color styles

You want your presentation to look visually appealing and highlight essential information. To make that happen, stay consistent with font styles and color schemes throughout your presentation. 

Use one or two fonts max to make the text easy to read and understand. Also, use a carefully selected color scheme that’s not too distracting. #8 Structure your presentation properly

Before creating your presentation, think about its structure. What’s the main idea you want to convey? Use that as your starting point, and only include information that adds value to the narrative. 

Plan out the first topics carefully to properly introduce your argument. Add the essential information in the middle part of your presentation. Lastly, close your presentation with a summary of the main points and leave your audience with an afterthought. Also, plan when you’re taking questions and for how long.

#9 Practice your public speaking skills

Public speaking may not be your forte, but you can get better with practice. Don’t decline a great opportunity to share your ideas with a larger audience just because you feel nervous speaking in front of a group of people.

Choose a transition that matches your presentation visually and use it throughout your presentation. Consider what animations will be relevant to your audience and select a few to add to your slides. Don’t overdo it. Keep the focus on the message you’re trying to convey, and use animations to only support that message. 

#13 Be enthusiastic

Yes, style and delivery are very important. However, content is still king when it comes to effective presentation skills. Certainly style and delivery might be capable of short term plaudits but they don’t meet the need for longer term understanding.

Because public speaking content and relevancy are two sides of the same coin. When presenting a scientific paper we would expect the speaker to respect their audience’s aptitude for facts, figures and data. Just take a look at this  Kepler presentation  for an example. However, we wouldn’t expect the speaker to patronise the listeners with gimmicks.

Presentation basics, key elements of good presentations.

There are three key elements of good presentations: Content, Organization, Delivery.  Your audience needs interesting and appropriate content in order to pay attention, especially at the start of a presentation.  Logical organization helps retain your audience’s attention – they need to be able to follow your train of thought and predict where you are going with your ideas.  Delivery also is important, as your own engagement with the information helps your audience engage.

Content deals with the substance of your presentation. Your ideas and information should be original and significant.  Use accepted and relevant sources in your research, and reference those sources as needed.  Offer a clear analysis that’s comprehensive and concise at the same time – strive for the right amount of information for your audience’s needs and the allotted presentation time. Make sure that your content is relevant to your audience, so that they understand immediately why they should pay attention to your presentation.

Garr Reynolds, in his book Presentation Zen: Simple Ideas on Presentation Design and Delivery , identifies characteristics of presentation content that create what he calls SUCCES(s): [1]

  • Simplicity – reduce information to key points and essential meanings
  • Unexpectedness – pose questions, offer interesting statistics, “make the audience aware that they have a gap in their knowledge and then fill that gap”
  • Concreteness – use specific language, provide real-life examples
  • Credibility – use sources, facts, statistics to back up your content; deliver information confidently; know your information well
  • Emotions – engage your audience to feel something about your content
  • Stories – use examples and illustrations to create a “story element” to the presentation

Finally, to make your content effective, repeat key information throughout your presentation. A memory research pioneer, German psychologist Hermann Ebbinghaus, found that we forget approximately 50 percent of new information within 18 minutes, with retention falling to 35 percent after a week. However, Ebbinghaus also discovered that repetition of the new information at key intervals can change this trajectory, a discovery known as the spacing effect. The lesson for presenters: work repetition into your presentation content.

Organization

Good organization requires a clear beginning, middle, and end. Link your ideas logically throughout the presentation to lead to an ending that resolves the problem or summarizes the situation you presented at the start. If you’re presenting based on a formal report or proposal, you may want to follow the order of the longer written document, but you don’t have to; as long as you include main ideas, it’s up to you to determine your presentation’s organization based on your audience and purpose. Strive for clear transitions between individual points, slides, and topics.

Delivery involves a range of factors from body language and word choice to vocal variety. A good presenter has a passion for the subject and an ability to convey and perhaps elicit that emotion in the audience. Audience engagement through eye contact, facial expression, gestures, and/or vocal tone contributes to an effective presentation. Delivery also deals with the confidence and professionalism with which you deliver the presentation.  Hesitations, “ums,” and other types of vocal fumbling will distract your audience, while a clear, confident presentation helps to engage them.

Content, organization, and delivery work together and are equally important aspects of presentations.

The following two videos provide basic tips for creating effective presentations in terms of content, organization, and delivery.  As you view them, consider their similarity of information and dissimilarity in presentation style. What can you infer about the presenter and intended audience of each presentation?  Which video resonates more fully with you personally, and why?  In terms of conveying information to a general audience, which video do you think is most effective, and why?

Planning Presentations

As you can see based on the video examples, presentations always require a situational analysis in the planning stage.  Identify your audience, purpose, context, and all of the communication variables that you need to consider in order to make choices that will result in an effective presentation for your purpose and audience. For example, your purpose – the one, main idea that you want to convey through your presentation – can influence your content, organization, delivery, and overall approach.  Identifying your audience can help you with what may be the most critical aspect of your presentation, making your information relevant to your audience.  Analyzing communication variables for your presentation also will help you determine if you need supplemental materials or handouts, how to arrange a room for an in-person presentation, how best to structure a virtual presentation, and more.

Even if you are creating a presentation based on a formal report or proposal for which you have already done a situational analysis, do another situational analysis for your presentation, as your audience, organization, language, and overall approach may differ based on the different communication mode.

Planning Online Presentations

In addition to doing a situational analysis, online presentations may require some additional planning time in terms of how you present information.  A real-time, in-person audience may pay attention to your presentation simply because you are present, and you may be able to adapt your presentation to audience reaction.  However, it’s more difficult to capture the attention of a virtual audience, either real-time or asynchronous, so online presentations need to be thought through very deliberately in terms of their content, organization, look, and approach.

The following video, while written for online instructors, nonetheless offers important points to consider for any type of virtual, online presentation.

Understanding Presentation Audiences

Audiences are egocentric, meaning that they operate under the principle of WIIFM: what’s in it for them. Don’t expect your audience to meet you where you are; meet them where they are and then take them where you want to go together. According to Lucas, audiences “pay closest attention to messages that affect their own values, beliefs, and well being. Listeners approach speeches with one question uppermost in mind: ‘Why is this important to me?’ … What do these psychological principles mean to you as a speaker?  First, they mean that your listeners will hear and judge what you say on the basis of what they already know and believe.  Second, they mean you must relate your message to your listeners–show how it pertains to them, explain why they should care about it as much as you do.” [2]

Also, audiences have relatively short attention spans, and often decide whether or not to give you their attention within the first minute or so of a presentation. Various research studies indicate a five – twenty minute attention span for any type of presentation (note that results of studies vary). An article titled “ Neuroscience Proves You Should Follow TED’s 18-Minute Rule to Win Your Pitch ” discusses the concept of “cognitve backlog,” or the idea that the more information you provide, the more information your audience will tune out and not remember. These audience characteristics lay the groundwork for presentation strategies identified in the videos, strategies such as starting with and continuing a story, engaging attention with an interesting statistic, and more.  The point to remember is that you need to make conscious, reasoned decisions about ways to engage your audience.  Keeping audience attention span and egocentrism in mind, strive for the following presentation basics:

  • Conciseness
  • Connection with audience

Expectations for Presentations

The 10/20/30 rule, generally attributed to venture capitalist Guy Kawasaki, is a good guideline to help you achieve a “just right” balance in your presentations. Geared for entrepreneurs pitching their business, his advice is a discipline that would improve the quality—and, effectiveness—of most presentations. In brief, 10/20/30 translates to a maximum of 10 slides, a maximum of 20 minutes and a minimum of 30 point font. [4]

While this rule is a good starting point, it does not overrule your audience analysis or understanding of your purpose. Sometimes, you may need more slides or have a more involved purpose—like training people in new software or presenting the results of a research study—that takes more than 30 minutes to address. In that case, go with what your audience needs and what will make your presentation most effective. The concept behind the 10/20/30 rule—to make new learning easy for your audience to take in, process and remember—should still be your guide even if you don’t follow the rule exactly.

One last way to gauge presentations is to consider most audiences’ expectations for good presentations:

  • main ideas are compelling and relevant
  • information is organized with a clear beginning, middle, and end; audience can follow where the ideas are leading
  • delivery shows the presenter’s enthusiasm and engagement
  • visuals apply good design practices
  • presentation length is appropriate for audience, purpose, and context

Plan your presentation

The basic structure of a presentation is actually always the same and should consist of:

Introduction

Make sure that the structure of your presentation is not too complicated. The simpler it is, the better the audience can follow.

The formal presentation of information is divided into two broad categories: Presentation Skills and Personal Presentation .

These two aspects are interwoven and can be described as the preparation, presentation and practice of verbal and non-verbal communication. 

This article describes what a presentation is and defines some of the key terms associated with presentation skills.

Many people feel terrified when asked to make their first public talk.  Some of these initial fears can be reduced by good preparation that also lays the groundwork for making an effective presentation.

A Presentation Is...

A presentation is a means of communication that can be adapted to various speaking situations, such as talking to a group, addressing a meeting or briefing a team.

A presentation can also be used as a broad term that encompasses other ‘speaking engagements’ such as making a speech at a wedding, or getting a point across in a video conference.

To be effective, step-by-step preparation and the method and means of presenting the information should be carefully considered. 

A presentation requires you to get a message across to the listeners and will often contain a ' persuasive ' element. It may, for example, be a talk about the positive work of your organisation, what you could offer an employer, or why you should receive additional funding for a project.

The Key Elements of a Presentation

Making a presentation is a way of communicating your thoughts and ideas to an audience and many of our articles on communication are also relevant here, see: What is Communication? for more.

Consider the following key components of a presentation:

Ask yourself the following questions to develop a full understanding of the context of the presentation.

When and where will you deliver your presentation?

There is a world of difference between a small room with natural light and an informal setting, and a huge lecture room, lit with stage lights. The two require quite different presentations, and different techniques.

Will it be in a setting you are familiar with, or somewhere new?

If somewhere new, it would be worth trying to visit it in advance, or at least arriving early, to familiarise yourself with the room.

Will the presentation be within a formal or less formal setting?

A work setting will, more or less by definition, be more formal, but there are also various degrees of formality within that.

Will the presentation be to a small group or a large crowd?

Are you already familiar with the audience?

With a new audience, you will have to build rapport quickly and effectively, to get them on your side.

What equipment and technology will be available to you, and what will you be expected to use?

In particular, you will need to ask about microphones and whether you will be expected to stand in one place, or move around.

What is the audience expecting to learn from you and your presentation?

Check how you will be ‘billed’ to give you clues as to what information needs to be included in your presentation.

The role of the presenter is to communicate with the audience and control the presentation.

Remember, though, that this may also include handing over the control to your audience, especially if you want some kind of interaction.

The audience receives the presenter’s message(s).

However, this reception will be filtered through and affected by such things as the listener’s own experience, knowledge and personal sense of values.

The message or messages are delivered by the presenter to the audience.

The message is delivered not just by the spoken word ( verbal communication ) but can be augmented by techniques such as voice projection, body language, gestures, eye contact ( non-verbal communication ), and visual aids.

The message will also be affected by the audience’s expectations. For example, if you have been billed as speaking on one particular topic, and you choose to speak on another, the audience is unlikely to take your message on board even if you present very well . They will judge your presentation a failure, because you have not met their expectations.

The audience’s reaction and therefore the success of the presentation will largely depend upon whether you, as presenter, effectively communicated your message, and whether it met their expectations.

As a presenter, you don’t control the audience’s expectations. What you can do is find out what they have been told about you by the conference organisers, and what they are expecting to hear. Only if you know that can you be confident of delivering something that will meet expectations.

How will the presentation be delivered?

Presentations are usually delivered direct to an audience.  However, there may be occasions where they are delivered from a distance over the Internet using video conferencing systems, such as Skype.

It is also important to remember that if your talk is recorded and posted on the internet, then people may be able to access it for several years. This will mean that your contemporaneous references should be kept to a minimum.

Impediments

Many factors can influence the effectiveness of how your message is communicated to the audience.

For example background noise or other distractions, an overly warm or cool room, or the time of day and state of audience alertness can all influence your audience’s level of concentration.

As presenter, you have to be prepared to cope with any such problems and try to keep your audience focussed on your message.

19 Ideas for More Compelling and Effective Presentations

Presentations play an important role in marketing and business development. Whether speaking at a conference, making a new business pitch, meeting with a client, or hosting a webinar, presentations can be a true differentiator — for better or worse.

But as important as presentations are, they can often be treated as an afterthought. And many marketers and business leaders settle for mediocre presentations at best and dreadful presentations at worst. The fact is, even though we’re not all capable of making inspiring presentations like Steve Jobs, most presentations could be  better ! So here are some simple ideas to help you create more compelling and effective presentations.

1 Consider the setting upfront

A critical factor to consider before developing a presentation is to take into account the setting of the presentation. Is it in-person or virtual? A keynote address or a breakout session? Small room or large room? Casual environment or formal? Whatever the setting, your approach to developing and giving the presentation should factor in the unique setting and respond with an appropriate approach.

2 Spend time developing great content

This should go without saying, but content is the core of your presentation. While all the other ideas below will help to make your content more impactful, a great presentation starts and ends with great content. So don’t shortchange your audience by shortchanging the effort you spend on developing compelling content. You’ll need to invest many hours researching, writing and brainstorming if you aim to create a presentation that your audience will appreciate.

3 Start with an outline

Don’t start with PowerPoint or Keynote! Many people start their presentations by getting right to creating slides.  But you need to remember that your presentation is not your slides; your slides only support your presentation. So it’s best to start by creating a simple outline of the main points you want to make in each act and go from there.

The key is to get your main ideas on paper and organize your thoughts before you start creating slides. You’ll gain a better understanding of the flow of your presentation and what content needs to be added, omitted or reordered.

4 Follow the 3-act structure

While not every presentation can easily fit into the 3-act structure, it’s generally a good method to follow.

Act 1  – The first act is the introduction, the setup of your presentation. This is where you grab the audience’s attention early on, giving them an expectation of what they are going to get out of it and a reason to keep listening. A compelling story or illustration can serve as a powerful opener.

Additional thoughts on the opening: You’ve got mere seconds to hook your audience, so open with a bang! Absolutely, positively, DO NOT be salesy or self-deprecating in your opening (or at any point in your presentation for that matter). And unless you want to lose the audience’s attention and respect out of the gate, don’t open with those token and boring slides that talk about you, your firm and all those accolades. Jump right into the real content!

Act 2  – The middle act is where you sustain their interest. Typically you are detailing a problem and offering a solution, while educating and informing along the way. It’s here where you really build your case and sell the benefits. This is where you’ll want to provide compelling examples, data, statistics, etc. to support your points.

Act 3  – The final act is where you resolve the problem, recap and remind the audience of the high points of your presentation. Then leave the audience with a call-to-action. What is the audience supposed to take away from your presentation? That should be clearly defined in your closing act. Also, a final story or illustration and questions from the audience are a great way to draw the presentation to a close.

5 Have one main point for each slide

It’s best to make only one main point for each slide. Be concise and coherent and don’t try to cover too much ground on a single slide. Instead, keep your slide (and your words) focused on hammering home the main point. But always use brevity; once you have made your point, move on. You don’t want to lose the audience by belaboring a point once it has been made.

6 Avoid using bullets

Nothing gets abused in presentations more than bullets. A slide full of bullets will undoubtedly ensure that your audience will stop listening to you and instead read what’s on the slide. The fact is, they can read faster than you can make your points. So remember, they are there to listen to you, not to read your slides. Bullets might be helpful as notes, but there’s little reason to include them on your slides.

7 Less is more

Keep in mind, your slides are there to support your presentation, not BE your presentation. So it’s best to always keep things as simple as they can be, because your slides are slides, not Word documents! Many presenters have entirely too much text on a slide and include way too many visuals, leaving audience members dizzy wondering what they’re looking at. And don’t design your PowerPoint presentation to be a leave behind. If you want to give your audience a substantive leave-behind, that should be treated as an entirely different document altogether.

8 Use large text

Since you are simplifying your slides, avoiding the use of bullets and only making one major point for each slide, amplify your points by using large text. Using a larger font size will not only make it easier for your audience to read the slide, it will also help them retain the information. And depending on the screen and room, your audience is probably going to have a hard time reading the text if you use a font size any smaller than 24pt. Ideally, each slide will only contain a few words that underscore your point.

9 Include captivating visuals

It’s been documented that messages accompanied by pictures are retained at a much more significant rate than words alone. This is called the “picture superiority effect” and studies indicate that including powerful visuals can increase information retention by 55% – 65% or more. Avoid using cheesy clip art or overly generic stock art. And absolutely, positively don’t use watermarked or copyrighted images that you found online! Similar to including one main point on each slide, one large and powerful photo is preferred over several smaller photos. The key is to choose images or graphics that convey the message you’re trying to make, in the most compelling way possible.

10 Utilize data wisely

Data can be a good thing or a bad thing in a presentation, depending on how wisely it’s used. Try to avoid the use of excel charts and graphs, as these are nearly impossible to make sense of on a screen and will surely distract your audience from listening to you. If you’re going to use complex data, try to find a way to simplify the numbers, using more of an infographic style than a typical Excel chart style.

Also, while statistics can certainly add to your presentation, be sure you always source your stats and find the most recent information possible. Using a 10-year-old statistic or quoting statistics without a source will detract from your credibility.

11 Have a solid, professionally designed slide deck

Regardless of how great the quality of your content may be, a poor slide deck design can be distracting and erode credibility — even if your firm is not in a “creative” industry. Design still matters and can help or hurt your presentation, so your slide deck design should be professional.

The template you use should be custom (don’t use the templates included with PowerPoint or Keynote), branded (but not over branded), and have a clean and organized layout. Avoid the temptation to overuse animation for transitions.

If your firm doesn’t have design capabilities, consider hiring someone to design a custom presentation and establish a design system for the various components of your presentation.

12 Don’t read it

If you don’t use bullets and have only one major point on each slide, you aren’t going to be able to turn around and read the slides like many often do during a typical presentation. But if you use notes, be sure you know the presentation well enough to avoid being glued to them. Not only is listening to someone read their way through a presentation boring, it gives the impression that you aren’t as knowledgeable on the subject as you should be.  Instead, use your notes for cues, not as the narrative for your presentation.

13 Engage with the audience

If you want to make a connection with your audience and have them pay attention to what you are telling them, you need to be engaging.  Here are some tips:

  • Do you best to be and stay relaxed
  • Show your personality, passion and enthusiasm about the topic
  • Make eye contact with specific members of the audience, even in virtual meetings
  • Project your voice; a notch more than you think you should
  • Move around the stage and interact with the audience
  • Don’t talk too fast, but don’t talk too slow either
  • Take a brief pause after making a substantial statement

Following these tips will help you appear confident and comfortable to the audience, making you seem more knowledgeable.

14 Treat it like a conversation

Nothing is more annoying (and boring) than a presenter that simply recites facts and information in a pontificating way. You don’t want to talk down to your audience, but you don’t want to treat the presentation like a 9th grade oral book report either. Instead,  act like you are having a conversation with your audience .

The best presentations I’ve ever sat through are the ones that made me feel like the presenter was talking with me and to me, not at  me. So try to speak as though you are speaking to only one person at a time. A good way to set the right conversational tone is by starting with open-ended questions to engage the audience at the beginning.

15 Tell compelling stories

The best presenters in the world are also incredible storytellers.  One of the best ways to engage an audience and make a lasting impression is to use stories and illustrations as a way to bring context and clarity to your points. Stories are usually much more engaging than raw information.  So look for stories, examples, illustrations, case studies, etc. to help bring your points to life.

16 Make them laugh (a little)

Not surprisingly, the best presenters, in addition to being great storytellers, are also generally funny people.  So look for ways to inject some (clean and safe) humor into your presentation. Making your audience occasionally laugh will keep them alert, entertained and more likely to keep listening to your message.

Now I’m not in any way insinuating that you should be a part-time stand-up comedian.  But at the same time, in addition to educating your audience, it’s always good to make them laugh every once in a while.

17 Don’t under OR over prepare

Don’t go into a presentation under-prepared! You should know your topic backwards and forwards and be able to present without an over dependence on notes.  Similarly, don’t over-prepare either. Remember, you are having a conversation with the audience, not reciting a speech.

So while you should spend a lot of time in preparation, don’t rehearse too much or memorize what you are going to say. You want your presentation to sound natural and organic, not like a canned political speech.

18 Get the technology right

All the hard work that goes into a creating a great presentation can be derailed by technological glitches. Don’t let yourself be a victim! Here are some things to consider:

  • Bring your own laptop to run the presentation
  • Come with every possible adapter/cable you may need for A/V
  • Invest in a quality remote and frequently change batteries
  • Have a spare power cord and/or extension cord handy
  • Avoid overusing animations, audio and video
  • Don’t depend on web-based content; embed directly from your laptop
  • Get there early, click through your deck and test the microphone

19 Adapt to the virtual environment (when required)

The Coronavirus (COVID-19) pandemic has ushered in a new era of virtual meetings , conferences, workshops and interviews. Virtual presentations are a completely different dynamic and require a different strategy, approach, pace and delivery. Here are some of the things you need to think about:

  • Slide deck – Keep in mind that your slides will be seen on much smaller screens than what you typically find at in-person presentations.
  • Equipment and technology – Be sure you have a high-quality camera and microphone, as well as sufficient internet bandwidth to stream the presentation.
  • On-camera appearance – Being on camera means your audience is going to get a much more “up close and personal” view of you. Be sure to look directly into the camera and position yourself so that only your upper chest and face are visible. Make sure the room is well lit and eliminate any background distractions.
  • Energy and Enthusiasm – Just like on-screen personalities exude energy and enthusiasm, it’s important for you to as well. Amp it up a bit more than normal and remember to keep up the enthusiasm until you’ve logged off.

How to create a Powerpoint Presentation

Powerpoint presentations are a great way to share information with a team, but making them is a skillset in its own right. We've got guides on general Powerpoint use , but if you're keen to just get started making a slideshow right now, this is the way.

Here's how to make a Powerpoint presentation.

What You Need

Powerpoint or Microsoft 365 subscription

The first step in building your fancy slideshow is to create the presentation itself. Here's how to do it.

Step 1: Install Powerpoint (as part of Microsoft 365 ) if you haven't already, then open the app up.

Step 2: The home screen will give you a range of options for selecting templates and premade presentations to give you a great starting-off point. Select one of them if they're applicable. For even more options, select the New tab from the left-hand menu.

Alternatively, if you want to start from a blank canvas, select Blank presentation.

Step 3: From there, it's a good idea to name and save the presentation so you can come back to it later. Select File > Save or* Save As*, then name the file on the right, choose a location for it, and select Save .

Step 1: Your first slide will automatically have text fields for a title and subtitle. If you want to have that on your first slide, select them, then type in what you want them to read. You can also click and drag them around, or resize them using your mouse.

Hover your mouse over the white circles, then click and drag them to resize the box. Alternatively, select the rotational arrows near the corners of the box, to rotate it.

If you don't want those text fields, select their boundary individually and press the Delete key to remove them.

Step 2: If you want to add more text to this slide (or any others in the future), select the Insert tab, then select Text box. Click on the slide where you want the box to appear, then use your mouse to drag the box to the desired shape.

Then click the box and type in what you want that text box to say. The contextual home menu will automatically adjust to give you quick access to font choices and other text style options.

You can access more detailed text formatting options by selecting the Format tab. There you'll find options for changing text coloring, its outline, and any text effects you want to use.

Step 3: To add pictures to your slideshow, select the Insert tab, then select Pictures in the top-left. You'll then have the option to insert an image from your local PC, a selection of stock images, or a range of online images.

Step 4: You can also freehand draw or annotate your slides, using the Draw tab, or alter the entire theme of the slideshow by selecting Design.

To add a new slide to your presentation, select the Insert tab at the top of the screen, then select New slide on the left. Then choose the type of slide you want. You can have a blank slide to do it all yourself, or you can get a headstart on its design by copying a previous slide, using the same theme as another part of your presentation, or having a predefined layout.

International Women meeting

The International Women group will meet at 9:30 a.m. Sept. 6 at Cross Roads Presbyterian Church, 2310 Haymaker Road, Monroeville.

The program will feature member Sharon Battle, a local travel agent who will offer highlights from recent trips to Europe and the Middle East.

All women in the community are invited to attend.

Presidential debate watch party

The Monroeville Republican Committee is hosting a presidential debate watch party at 8 p.m. on Sept. 10 at the Monroeville Volunteer Fire Company No. 4 Gateway Hall, 4370 Northern Pike.

The event is open to all, regardless of political affiliation. Attendees are encouraged to engage in respectful and civil political conversation, enjoy light refreshments and connect with community members.

Eagle talk with Don German

Eagle advocate and U.S. Steel plant manager Don German will return to the Monroeville Public Library to discuss the aerie (eagle’s nest) at the plant from 10:30 a.m. noon Sept. 14.

German will discuss the fledglings that have been hatched over the past few years, as well as their parents and the importance of biodiversity. This hybrid presentation on bald eagles is for nature lovers of all ages.

Individuals who attend in person will get a free eagle toy to take home. Patrons can join in person or online using the Zoom link on the library’s website, monroevillelibrary.org.

Registration is not required.

Zentangle class

In-person Zentangle events will be held from 10 a.m. to noon Sept. 7 and Oct. 5 at the Monroeville Public Library, 400 Gateway Campus Blvd..

Zentangle is a technique for pattern drawing. Artist and instructor Sue Schneider will guide participants through the basic process for creating small, abstract designs using repetitive pattern skills.

Teens and adults are welcome; registration is required through Monroevillelibrary.org or by calling 412-372-0500.

Make your own dryer balls

Barb Grossman will help patrons reduce their carbon footprint by showing them how to make their own dryer balls from 1-3 p.m. Sept. 14 at the Monroeville Public Library.

Attendees will use fabric scraps to make dryer balls, which help reduce drying time and lower energy costs. They are an alternative for those who are allergic to wool or for vegans. Some simple hand stitching is required.

All necessary materials will be provided, but attendees are welcome to bring their own or to browse the library’s fabric bank.

This in-person class is for ages 12 and older. Registration is required at monroevillelibrary.org or call 412-372-0500.

A visit From William Penn

The Monroeville Public Library will host a live visit from a William Penn reenactor from 7 to 8:30 p.m. on Sept. 16.

Presented by Henry Bowden, Penn returns to his colony of Pennsylvania after 323 years to share his hopes and dreams for the people of his planned society.

Penn was an advocate for democracy and religious freedom. He was known for his successful treaties with the Lenape Native Americans, who resided in present-day Pennsylvania prior to European settlement.

This is an all-ages, in-person event; registration is not required.

Charity golf outing

The Westmoreland chapter of nonprofit Twilight Wish will host its eighth annual Charity Golf Outing Sept. 28 at Manor Valley Golf Course, 2090 Denmark Manor Road, Penn Township.

The cost is $100 per golfer (sponsorships are available). Dinner-only tickets are $30.

Twilight Wish works to grant “wishes” for senior citizens, ranging from simple needs such as clothing, lift chairs and hearing aids, to life wishes for patients with limited life expectancy and one-time wishes such as riding a motorcycle, meeting a celebrity or flying on a fighter jet.

Checks can be made payable to “Twilight Wish Foundation of Westmoreland County” and mailed to Jamie Bostard, WC Chapter Director, 1084 Manorvue Ct., Delmont, Pa., 15626.

Historical society hosts Heritage Day on Sept. 28

The Monroeville Historical Society will host its annual Heritage Day from 11 a.m. to 4 p.m. on Sept. 28.

This all-ages event is open to the public.

Food, drinks and ice cream will be available for purchase. Other activities include a petting zoo, pony rides and crafts for children. There may be a small charge for some activities.

The historical society will be conducting tours of McGinley House and McCully Log House, at 2381 McGinley Road.

Pitcairn market vendors sought

Pitcairn’s Fall Night Market, an all-ages, family friendly event, is slated for 6 to 8 p.m. on Sept. 27 at Broadway street from Dan’s Floral to Dick’s Sports Bar.

Sale items may include homemade food and baked goods, crafts, gifts, flea market items, clothing, jewelry and more.

Applications are being accepted until Sept. 10 for vendor booths and food trucks. They can be found on the Pitcairn Night Market Facebook page, or calling the borough office at 412-372-6500 or emailing council member Lisa Petrosky at [email protected].

The market is held each spring and fall.

Rotary speaker series

Monroeville Rotary will host “town hall” meetings the first Thursday of the month from 6:30 to 7:30 p.m. in the program room at Monroeville Public Library.

• Sept. 5 – Melissa Richards, chief people officer at National Forest Foundation, an organization that supports the forests for future generations.

• Oct. 3 – State Rep. Brandon Markosek, D-Monroeville. Markosek will discuss legislation to require insurers to cover speech therapy for children.

• Nov. 7 – Jay Mitlo, pastor of Faith Community Church and author of “Stand,” a book on leading family through a child’s life-threatening illness.

• Dec. 5 – Fred Carlson, illustrator of “America and the Holocaust,” a nationally acclaimed educational resource for students focusing on issues of ethics and prejudice.

• Jan. 9 (second Tuesday) – Dr. Abimbola Fapohunda, developer of an e-learning training program on cancer awareness, diagnosis and treatment for Nigerian health care practitioners.

Meetings are open to the public, and light refreshments will be served. Advance registration is not required. The library is at 4000 Gateway Campus Blvd.

Monroeville Arts Council will host a series of concerts at the Community College of Allegheny County’s Boyce Auditorium. Concerts will be from 4-6 p.m. They include:

Concerts are free and open to the public. The Boyce campus is at 595 Beatty Road in Monroeville.
